Terms of Service
Effective date: January 1, 2024
These terms apply to the use of this website and to interpretation, language-access, technical coordination, and related services provided by America Interpretation. A written quote, statement of work, or client agreement may add project-specific terms.
1. Services
America Interpretation provides professional interpretation services for online, hybrid, and on-site meetings, conferences, public-sector mandates, associations, institutions, and corporate events. Services may include interpreter coordination, technical readiness, platform guidance, equipment coordination, captions, transcripts, post-event files, and other language-access support when scoped in writing.
Technology-assisted options, including AI-supported tools, are offered only for selected use cases and are not a substitute for human interpreters in official, sensitive, executive, legal, or high-risk meetings unless explicitly agreed.
2. Quotes and bookings
Quotes are based on the information available at the time, including date, duration, format, language combination, subject matter, technical setup, preparation needs, travel, and risk level. Changes to scope may affect pricing, staffing, deadlines, or feasibility.
A booking is confirmed only when the agreed confirmation steps have been completed. Availability of interpreters, technicians, equipment, and partners is not guaranteed until confirmation.
3. Client responsibilities
Clients are responsible for providing accurate event details, materials, terminology, speaker information, platform access, venue and AV contacts, and technical information in a timely manner.
For online and hybrid events, clients are responsible for stable internet access, appropriate microphones, platform permissions, and speaker discipline unless America Interpretation has explicitly agreed to manage those elements.
4. Confidentiality and materials
Client materials are used to prepare and deliver the requested services. Clients confirm that they have the right to share those materials with us and with assigned interpreters or technical partners.
Recordings of interpreted events, interpreter audio, transcripts, or post-event files may not be reused, published, or distributed beyond the agreed purpose without prior written agreement.
5. Payment, changes, and cancellation
Payment terms, taxes, deposits, cancellation rules, and change fees are set out in the applicable quote or agreement. If no specific written terms apply, payment is due according to the invoice terms.
Late changes, missing preparation material, poor audio, platform restrictions, or unplanned agenda changes may affect service quality or require additional fees.
6. Service limitations
Professional interpretation conveys meaning accurately, but it is not a word-for-word transcript. Service quality depends on preparation, audio quality, platform reliability, speaker discipline, and the complexity of the subject matter.
America Interpretation is not responsible for platform outages, venue AV failures, internet interruptions, third-party service failures, or client-provided information that is incomplete or inaccurate.
7. Governing law
These terms are governed by the laws of Québec and the federal laws of Canada applicable therein. Any dispute should first be addressed through good-faith discussion.
